How to determine whether an invoice calculates the sales tax in Accounting or in Small Business Accounting 2006

INTRODUCTION

This article describes how to determine whether an invoice calculates the sales tax in Microsoft Office Accounting Professional, in Microsoft Office Accounting Express, and in Microsoft Small Business Accounting 2006.

To determine whether an invoice calculates the sales tax in Accounting and in Small Business Accounting 2006, verify the relevant settings. If one or more of the relevant settings are incorrect, the invoice does not calculate the sales tax. To verify these settings, follow these steps:

Determine whether the company is set up to pay sales tax, and determine whether all tax groups are set up. To do this, use one of the following methods:
- In Accounting 2007, Accounting 2008, or Accounting 2009, follow these steps:
  1. On the Company menu, click Preferences.
  2. On the Company tab, click to select the Do you pay sales tax? check box.
  3. Click Tax Groups.
  4. In the Tax Groups dialog box, verify that all tax groups are set up correctly, and then click Close.
  5. Click OK.
- In Small Business Accounting 2006, follow these steps:
  1. On the Company menu, click Preferences.
  2. On the Company tab, click to select the Do you pay sales tax? check box.
  3. Click Tax groups.
  4. In the Modify Sales Tax Group dialog box, verify that all tax groups are set up correctly, and then click Close.
  5. Click OK.
Verify that the item tax for the items in the invoice is set as taxable. To do this, follow these steps:
1. On the Customers menu, point to Customer Lists, and then click Items.
2. Double-click each item that is in the invoice.
3. In the Item tax field, verify that the item tax for the item is set as taxable.
  Notes
  - In Accounting, the Item tax field does not contain "taxable". The value that is not "Non-taxable" is set as taxable.
  - In Small Business Accounting 2006, the Item tax field contains "taxable".
4. Click Save and Close.
Verify the sales tax codes. To do this, use one of the following methods:
- In Accounting 2007, Accounting 2008, or Accounting 2009, follow these steps:
  1. On the Company menu, point to Sales Tax, and then click Manage Sales Tax Codes.
  2. In the Manage Tax Codes dialog box, verify that the sales tax codes are correct.
    
    Note If a sales tax code is incorrect, modify the incorrect sales tax code.
  3. Click Close.
- In Small Business Accounting 2006, follow these steps:
  1. On the Company menu, point to Sales Tax, and then click Manage Sales Tax Codes.
  2. In the Modify Tax Code name dialog box, verify that the sales tax codes are correct. If a sales tax code is incorrect, modify the incorrect tax codes.
  3. Click Close.
