Error message when you try to save an invoice or to void an invoice in Accounting Professional or in Accounting Express: "Data cannot be saved because it is too long"

SYMPTOMS

When you try to save an invoice or to void an invoice in Microsoft Office Accounting Professional or in Microsoft Office Accounting Express, you receive the following error message:
Data cannot be saved because it is too long.

CAUSE

This problem occurs if the invoice contains an item line that has a description that is longer than 256 characters. The 256-character limit for the description includes spaces.

RESOLUTION

The description of the item line in the invoice is linked to the Sales description field in each item. To resolve this problem, follow these steps:
  1. Open the invoice that you want to save or to void, and then locate the item line that contains the most text in the Description column.
  2. On the File menu, point to Vendors, point to Vendors Lists, and then click Items.
  3. In the item list, right-click the item that you located in step 1, and then click Open Selected Items.
  4. In the Sales description field, edit the description to be 256 characters or shorter than 256 characters.

    Note The 256-character limit for the description includes spaces.
  5. Click Save and Close.
  6. In the invoice that you opened in step 1, click Edit.
  7. Under Products and services, click the item that you located in step 1.
  8. Click another item, and then click the same item that you clicked in step 7.

    Note This step updates the Description field of the item line to the shorter description that you typed in step 4.
  9. On the File menu, click Save.
  10. On the Action menu, click Void.
